Working closely with businesses, industry groups, state government agencies and other relevant organisations, the Adelaide Economic Development Agency (AEDA) delivers a range of programs designed to stimulate the city’s economic growth with a focus on business growth, investment attraction, growing our visitor economy, residential growth, marketing the city as a whole and promoting Rundle Mall as Adelaide’s premier shopping destination.

Adelaide Economic Development Agency (AEDA) and the City of Adelaide (CoA) work with events and festivals that demonstrate they are leaders in event management. As a successful recipient of our funds, it is expected that you will:

  • Lead and drive the sponsorship.
  • Provide regular communication and updates.
  • Provide specifications for delivery of sponsorship benefits (minimum two weeks lead time is required for most opportunities).

This guide also highlights a range of promotional opportunities you may wish to take advantage of when planning your event/festival. Please take some time to read it carefully. Payment of Your Sponsorship Funding

To ensure prompt payment of your sponsorship funding, please supply AEDA with a GST compliant tax invoice (if registered for GST) for the agreed amount of funding plus GST.

If your organisation is not registered for GST, payment documentation must state that the payment does not include any GST component.

Your invoice will be held on file and only sent for processing once an agreement has been executed via DocuSign which includes a copy of the following:

  • Public Liability Insurance Certificate of Currency (minimum $20,000,000) noting both the Adelaide Economic Development Agency and City of Adelaide as interested parties.
  • ReturnToWorkSA Certificate of Registration or similar employee insurance policy (if paid staff are employed).

Kaurna Acknowledgement

It’s a requirement of your sponsorship funds to use the traditional Kaurna name(s) for relevant Park Lands in both print and online marketing material where appropriate.

The naming protocols for Council’s Park Lands, using both the European and Kaurna names, can be found here.

It is a requirement of your sponsorship funds to undertake a ‘Welcome to Country’ or ‘Acknowledgement of Country’ as a part of your event/festival where appropriate. Incorporating ‘Welcome to Country’ or ‘Acknowledgement of Country’ into official event formalities recognises Kaurna people as the First Australians and custodians of their land. This recognition of Country is a sign of respect and provides an opportunity to create awareness and the sharing of Kaurna culture.

Promoting Your Event/Festival

To be promoted by AEDA and CoA, your event/festival must be listed on the Australian Tourism Data Warehouse (ATDW). This is a requirement of your sponsorship funds.

ATDW is a national platform, managed by state tourism bodies, that allows you to create a single, free event listing that is quick to set up and easy to update. Your listing is shared across multiple websites, including Experience Adelaide and the South Australian Tourism Commission (SATC).

Listings take up to five business days to be approved and are updated daily. Once your event/festival is listed, you will have access to a range of promotional opportunities as part of your sponsorship with AEDA and CoA.

How to List Your Event/Festival on ATDW:

  • Visit ATDW and register your event/festival.
  • Once approved, you’ll receive a confirmation email.
  • Log in to create your event listing.

Please note: Your event/festival may fit into multiple categories (e.g. a festival with workshops).

AEDA manages the Experience Adelaide website to promote events, festivals and activities across the city. The What’s On page features events taking place in the city and North Adelaide, attracting an average of 40,000 views per month. It is actively promoted through all AEDA consumer campaigns throughout the year.

All Experience Adelaide listings are drawn from ATDW. Your event/festival will not be included unless it has been listed on ATDW and is located in the postcode 5000 or 5006.

The Experience ADL eDM is sent weekly to a growing national database of over 125,000 subscribers, showcasing what's happening in the city using content from Experience Adelaide's What's On page

There are two opportunities available in the eDM for your event/festival:

Featured Event

Includes an image, 30-50 words and link to your event's ATDW listing on ExperienceAdelaide.com.au. Please provide text or guiding points and a landscape image without text or logos.

Banner Ad

One to two banner ads are included in each Experience Adelaide eDM. Please provide artwork to the following specifications:

  • JPG or GIF format.
  • 800 px (w) x 300 px (h) or 1280 px (w) x 320 px (h).
  • Under 3MB.
  • Link for banner ad – UTM tagged if you want to track the link.
  • No URL required to be displayed in artwork as the image will be linked with the URL provided.
  • Please ensure any text in the artwork is clearly legible.

To submit either a featured event or banner ad for the Experience ADL eDM, please send content at least four weeks prior to the start of your event/festival to:

The Next Edition is AEDA and CoA’s internal eDM, distributed twice a week to staff across both organisations. Content from your event/festival’s ATDW listing will be featured in an upcoming edition and shared with over 860 internal subscribers.

AEDA and CoA each manage their own social media channels. Your event/festival may be promoted on AEDA’s @ExperienceADL Facebook and Instagram accounts, where appropriate. Content may also be shared across CoA’s channels at Council’s discretion.

AEDA’s social media platforms have a combined audience of over 91,000 followers, providing strong promotional reach.

As part of your sponsorship agreement, there may be an opportunity to run a ticket giveaway through AEDA and/or CoA's social and eDM channels, to promote your event/festival.

We recommend offering at least one double pass, however, we are open to exploring other creative options to provide exclusive experiences; such as behind-the-scenes tours or VIP access etc.

If you wish AEDA and/or CoA to run a giveaway, please provide:

  • Details of the tickets (including dollar value).
  • Any required terms and conditions.
  • Guiding dot points for copy (will be in an appropriate style and tone).

Whether you’re walking, cycling or driving through the city, the flags and banners that line the streets always grab your attention. With high visibility and exposure throughout key locations in Adelaide’s CBD and North Adelaide, street banners are an affordable outdoor advertising medium.

AEDA and CoA sponsored events/festivals are given priority, where possible, to utilise these sites. As many sponsored events occur around the same time, multiple requests for the same sites are common.

Please be aware that expressions of interest for banners sites are taken for the period between January and March and September to November annually due to high demand. The EOI process will commence in July of each year.

During other times of the year, banner sites are allocated based on a predefined CoA priority system. The date of application submission does not guarantee the banner site requested.

Sponsored events/festivals may be eligible for a site hire waiver subject to incorporating AEDA and CoA branded banner templates into the banner designs. These templates are available from the Business Service Representative listed below. Please be aware that the template designs, including the approved colour palettes, cannot be altered by your designer. The value of this waiver is at the discretion of CoA. Production, installation and dismantle costs are to be covered by your organisation.

Footpath stickers are a unique way to promote your event/festival throughout the city and can be organised by obtaining an ‘Objects on Footpath’ permit.

Details are as follows:

  • Fees are based on the total area occupied by your stickers. The standard fee is $1.85 per square metre, per day and discounted to $0.70 per square metre, per day for AEDA/CoA sponsored events/festivals. As an example, a sticker promoting an AEDA/CoA sponsored event/festival that is 1m x 1m in size and installed for the maximum period of 31 days would cost $21.70. You can use the Footpath Stickers fee calculator to estimate your fees.
  • Each individual sticker must be less than 1 square metre in size and made from a non-slip material.
  • A maximum of 48 stickers is allowed per campaign/permit.
  • Stickers must be set back:
    • 1.8 metres from building frontages to assist those with a vision impairment.
    • 1 metre from traffic lights and pedestrian crossovers.
  • The use of dark colours (such as black and dark purple) is discouraged as they may pose a hazard to the vision impaired.
  • Production costs as well as installation and removal of stickers are the responsibility of your organisation/contractor.
  • Please be aware that from November through to the end of December the Christmas in the City campaign will be running, and no other sticker promotions will be permitted during this time.
  • We ask for applications to be submitted a minimum of two weeks prior to the campaign start date.
  • Apply for a permit here.

As a part of your application, you will be required to include the following information:

  • The proposed sticker design and dimensions.
  • A map of the proposed locations. Google Maps is used to record the locations of footpath sticker permits. You will need to login in with a Google account and then click ‘create new map’ to complete.
  • The dates for the campaign (maximum duration of 1 month).
  • A Certificate of Currency with Public Liability Insurance showing a minimum of $20 million and noting CoA as an interested party for our respective rights and interests in relation to the activity/object on Council land.

Please also be aware that permits for objects on footpaths take two weeks. As there is no guarantee of approval for applications received in less than this timeframe, please ensure you allow enough time when submitting your application.

AEDA offers various sites for hire for activations and events in the Rundle Mall Precinct, with flexible short-term or long-term options. Rundle Mall provides the perfect platform to reach thousands of tourists and locals every day. All year round, the precinct embraces events and activations of all sizes, adding vibrancy to an already buzzing space.

  •  All artwork/creative depicting alcohol (in all forms – including, but not limited to, logos, bottles, packaging and drinking) needs to receive ABAC approval here.
  • Artwork that contains the following will not be permitted:
    • Religious references.
    • Tobacco references.
    • Political references.

Civic events are held at the discretion of the Lord Mayor. They can be a result of requests from members of the public or can be initiated by Elected Members or the Lord Mayor.

Citizenship ceremonies are one example of civic events, but they can also be held to:

  • Recognise the achievements of groups or individuals and acknowledge their significant contribution to the city.
  • Support community milestones and anniversaries.
  • Acknowledge historical milestones.
  • Welcome community members and organisations as well as key international figures to Town Hall and the city.

On occasion, the Adelaide Town Hall is lit a particular colour for launches or to raise awareness.

Photo frames
  • Please submit your booking for the branded event collateral at least four weeks prior to your bump-in. During the peak event season (January – March and October – December) popular items including umbrellas and fence wrap are in high demand. To assist in planning and distribution, advance bookings are appreciated.
  • There is no hire cost.
  • Please be aware that any loss or damage to any of the hired branded event collateral, however caused, shall be made good by the event/festival organiser at their expense.
  • Should the event/festival organiser fail to make good such loss or damage, AEDA shall undertake necessary replacement or repair and recover the cost from the event/festival organiser.
  • Please note delivery is Monday to Friday only, excluding public holidays.
  • Once a booking has been received the Visitor Economy Assistant will confirm availability. The coordination of this is managed by our supplier Visualcom and they will deliver to the event/festival site.
  • Please ensure your site crew is prepared for delivery and installation, particularly for any heavy items.
  • The use of this branded event collateral should be addressed in your risk assessment. When planning your site, please take into consideration weather, wind, location, crowd management, placement surface and storage.
  • The event/festival on-site delivery contact listed on the booking form must be available to sign for the delivery when it arrives. Items can be returned Monday to Friday between 9:00 am - 5:00 pm, excluding public holidays.
  • The event/festival organiser is responsible for ensuring that all branded event collateral is packed the same way it was delivered.
  • Items specifically outlined in your agreement will require photo evidence of display during the event/festival as part of the acquittal process.

If branded event collateral is included as part of your sponsorship agreement, you will receive a notification via your SmartyGrants account, prompting you to complete a booking form.

Sustainable Events

There is growing community expectation that events/festivals are sustainable, which means they seek to reduce their use of resources like fuel, electricity and water, and minimise waste going to landfill. CoA provides Sustainable Event Guidelines which were developed collaboratively with event/festival organisers, the waste industry and event suppliers. The guidelines provide practical ways for events/festivals to understand their impacts, make improvements and set future targets. The list of actions is flexible and customisable depending on the event/festival size and type.

A kit of resources is also available to assist event/festival organisers to make positive change. These include:

  • Easy checklists for action on waste, water, energy, transport.
  • Tips for community-run or commercial events.
  • Templates for:
    • Waste management planning and contracting.
    • Education and communication with vendors.
    • Stallholder clauses.
    • Media announcements.
  • Case studies of leading sustainable events/festivals.

The Government of South Australia has introduced laws to prohibit or restrict some single-use plastic products being sold, supplied or distributed in the state. Single-use plastic straws are restricted, and single-use plastic cutlery and stirrers are banned.

Visitor Information Centre

The Adelaide Visitor Information Centre is located at the rear of the City of Adelaide Customer Centre, 25 Pirie Street, Adelaide.

The Centre offers assistance to local, interstate and overseas visitors and is staffed by knowledgeable and enthusiastic volunteers. Services include assisting visitors with directions, brochures, maps, event/festival guides and journey planning that will help them make the most of their time in Adelaide and South Australia.

The Visitor Information Centre is open Monday to Friday, 9:00 am – 5:00 pm.

If ticketing and hospitality opportunities are detailed in your sponsorship agreement, AEDA will liaise with our internal stakeholders to manage the collation of RSVPs on your behalf.

To help us do this efficiently, we ask that you please keep in mind the following:

  • Allow a reasonable lead-time for RSVPs as we have a number of internal stakeholders to liaise with.

If your sponsorship agreement specifies supplying AEDA with event images, please consider the below when briefing your photographer and selecting images to supply.

Photographs of Adelaide’s events and festivals should be exciting and inspiring – representative of the city’s world-class offering, and always putting the city’s best foot forward.

DOs

  • Supply high quality, enticing images that have an immersive feel, enveloped by buzz and action, or a quieter reflective moment.
  • Supply a variety of images that capture the event/festival experience, not just the spectacle itself (e.g. for a music festival, this would include images of the performances, as well as the audience/attendees enjoying the show, roaming the grounds, enjoying food and drink, dancing).
  • Include subjects in the images that successfully represent the audience of your event/festival.
  • Capture candid and authentic, un-posed moments in time.

DON'Ts

  • Images other than ‘photographs’, including any illustrations, or pictures including text and/or graphics.
  • Images that are void of people and action and depict the city as a ‘ghost town'.
  • Images that are stock-like with little sense of place (i.e. they could be taken anywhere).
  • Unrealistic filters or overly artistic post-production.
  • PR-style images that are staged for the purpose of advertising or publicity.
